QuickBooks Online (QBO) is a cloud-based accounting software that helps you manage your business finances from anywhere, at any time. Whether you need to create invoices, track expenses, reconcile bank accounts, or run reports, QBO has you covered. But did you know that QBO also has some features and integrations that can help you save time and work more efficiently? In this blog post, we will share four productivity tips and tricks for QBO users.

1. Use Keyboard Shortcuts

One of the easiest ways to speed up your work in QBO is to use keyboard shortcuts. Keyboard shortcuts are combinations of keys that perform certain actions without using the mouse. For example, you can press Ctrl+Alt+I to create a new invoice, or Ctrl+Alt+M to open the email window. You can also use keyboard shortcuts to navigate between fields, tabs, and menus in QBO. To see a list of all the keyboard shortcuts available in QBO, press Ctrl+Alt+?.

2. Connect Bank and Credit Card Accounts

Another way to save time in QBO is to connect your bank and credit card accounts to your QBO account. This way, you can automatically download your transactions into QBO and categorize them with a few clicks. You can also match your transactions to the ones you have already entered in QBO, such as invoices and bills. This will help you avoid duplicate entries and ensure accuracy in your books. To connect your bank and credit card accounts to QBO, go to the Banking tab on the left-hand side of the screen and follow the instructions.

3. Set Up Recurring Transactions

If you have transactions that occur regularly, such as monthly rent or subscriptions, you can set them up as recurring transactions in QBO. This will save you from having to enter them manually every time they occur. You can also specify the frequency, amount, and end date of the recurring transactions, and QBO will automatically create them for you. To set up recurring transactions in QBO, go to the Gear icon on the top right corner of the screen, then select Recurring Transactions under Lists.

4. Utilize Popular QBO Integrations

QBO also integrates with many popular apps and services that can help you streamline your workflows and automate your tasks. For example, you can integrate QBO with Shopify to sync your sales and inventory data, or with Mailchimp to send email campaigns to your customers. You can also integrate QBO with Zapier, a tool that connects different apps and creates workflows called Zaps. For example, you can create a Zap that automatically creates a new customer in QBO when someone fills out a form on your website. To explore the integrations available for QBO, go to the Apps tab on the left-hand side of the screen. These are just some of the tips and tricks that can help you boost your productivity with QBO. By using keyboard shortcuts, connecting bank and credit card accounts, setting up recurring transactions, and utilizing popular integrations, you can save time and work smarter with QBO. Try them out today and see how they can improve your accounting experience!
